CRM Setup and Lead Follow-Up Automation for Service Businesses

Inquiries land in different places. Response depends on who happens to be free. Follow-up trails off because nobody agreed on the steps. Reporting does not line up with what actually happened.

Cross X Agency is the implementation partner, not a CRM software vendor. The scope maps capture, routing, response, follow-up, escalation, and reporting into one approved workflow, then configures it inside the CRM the business owns.

    Where it fits

Handoffs are inconsistent, not the people.

Most teams do not have a follow-up problem so much as a handoff problem. When the steps, owners, and exceptions are not written down, the same lead is handled well one day and lost the next. The system is the point and the tools support it.

    The build

    How the work is built.

Every engagement starts by reviewing the current accounts, forms, phone setup, and workflow. The stack is chosen after that review, not before. The build documents owners, permissions, exceptions, and reporting so the workflow can be run and understood by the team using it.

    Map the workflow first.

Lead sources, routing rules, response steps, reminders, escalations, and reporting are agreed with the client before any tool is configured.

    Configure the approved stack.

CRM, forms, notifications, and any automation are set up in the tools already in use where possible. A new stack is scoped only when the current one clearly cannot support the workflow.

    Test, document, and hand off.

Workflows are tested end to end with real submissions, exception handling is defined, and access, ownership, and next actions are documented before launch.

    Included scope

    What the system includes.

    Workflow map.

Lead sources, routing, response steps, reminders, escalations, and reporting captured as one shared workflow.

    CRM configuration.

Pipelines, stages, ownership, and required fields configured in the approved CRM, wired to forms, calendar, and phone where in scope.

    Capture and routing.

Website forms, calls, and messages enter one pipeline and route to the right owner based on the agreed rules.

    Follow-up sequences.

Scheduled text and email steps built to the client's tone and cadence, with stop conditions when a lead replies, books, or opts out.

    Exception handling.

Escalation paths for missed responses, failed automations, and unusual cases, with a named owner for each.

    Reporting and handoff.

A short set of reports tied to useful decisions, plus documentation of access, permissions, and operating steps for the team.

    Ownership

    The accounts stay with you.

    Your access

Approved accounts, assets, and logins are created in, or transferred to, your ownership.

    Documented handoff

Owners, permissions, and next actions are written down before launch or transition.

    Portable scope

The completed foundation can be handed back and continue running independently.
