What pipeline stages does estimate follow-up actually need?
A workable pipeline for the estimate stage of a contractor's process has clear, distinct stages, each with a defined entry condition:
Inquiry received: the lead came in, from a call, form, or text, and hasn't been contacted yet.
Estimate scheduled: someone has been assigned to visit or quote the job on a specific date.
Estimate sent: the actual number has gone out to the prospect, by hand or through software.
Follow-up in progress: the estimate is out and automated or manual follow-up is running.
Decision made: the job is either won, lost with a reason logged, or gone cold with no response after the defined number of attempts.

A reasonable message reads something like: 'Hi [name], following up on the estimate we sent for [job type] on [date]. Any questions, just reply here or call us at [number].' That's it. If the prospect has a question about price or scope, that's the exact moment automation hands off to a person, not the moment it tries to answer.
How should the follow-up cadence be set?
There's no universal correct cadence, and a cadence borrowed from another contractor's business isn't automatically right for yours. The cadence should be a deliberate choice the contractor makes based on how their sales cycle actually works: how long prospects typically take to decide, and how many touches feel like reasonable persistence versus badgering.
A common structure is a short first reminder a few days after the estimate goes out, a second touch roughly a week later if there's been no response, and a final message a couple of weeks after that asking directly whether the prospect wants to move forward or close the file. How does consent and opt-out work in practice?
Every automated text or email needs a clear, working way to opt out, and that opt-out has to be honored immediately and permanently for that contact, not just paused. Consent should be captured at the point the lead comes in, whether that's a checkbox on a form or a verbal confirmation logged during an intake call, and the record of that consent should be tied to the specific contact, not assumed for the business as a whole.
