A lead follow-up system should acknowledge the request, route it to the right person, keep the team accountable, and stop automation when a human conversation takes over. Automation should make a human response faster and more informed. It should not pretend to be a human or keep messaging after a real conversation starts.
Step 1
Name, phone, email, service, location, urgency, source, consent, and the page or campaign that created the inquiry.

Confirm that the request was received and set a realistic expectation for what happens next.

Put the lead in a pipeline, name an owner, create the next task, and surface urgent or high-value inquiries.

Compliance
Transactional SMS consent and marketing consent should be separate, optional where appropriate, and recorded with source and timestamp.
Routing
Pipeline. Stage. Assigned user. Tags. Priority. Next task. Last contact attempt.
Adjust timing to the service, urgency, business hours, consent, and how your team actually sells. Stop the automated sequence when the lead replies, books, opts out, or becomes disqualified.
Send a confirmation email. If valid consent exists, send a concise text that names the company and sets the callback expectation. Create the opportunity and owner task.
Assigned person reviews the service, location, source, and notes before calling. Log the result and the next task.
If unanswered, leave a useful voicemail and send one follow-up that asks for the missing detail needed to quote or schedule.
Send a short value email: what to prepare, what affects the estimate, or what the first visit includes.
Make a second human call attempt. Reference the original request, not a generic sales script.
Close the active sequence with an easy reply path. Keep the lead in a longer-term nurture only when the inquiry and consent make that appropriate.
Replace every bracket before use. Do not send marketing texts without the required consent, and always honor opt-outs.

Quick question before we schedule: is the property in [service area], and is this [routine or urgent]? That helps us route the right person.
Subject: A few details that help us prepare. Before we speak, it helps to have [photos, measurements, model information, access details]. You do not need everything perfect. Send what you have and we will guide the rest.
Subject: Should we keep this request open? We have not been able to reach you about [service]. Reply with a good time, call [number], or let us know if the project changed. We will close the active request if we do not hear back.
Note. Emergency leads: do not promise emergency response through an unattended form. State hours and route urgent requests to the correct live channel.
Stage names should describe what is true now. Every open opportunity should have an owner, a dated next task, and enough notes for another team member to step in.

Good reminders make the visit easier for both the customer and the field team. They do not rely on pressure or manufactured urgency.
At booking
Date, arrival window, property address, service requested, who is coming, how to reschedule, and what to prepare.
Day before
Confirm access, parking, pets, gates, decision-makers, equipment details, photos, or utility access when relevant.
On the way
Use a realistic arrival message. Do not send exact technician tracking unless the system and policy support it.
After visit
Summarize what happens next, who owns it, when the estimate arrives, and how the customer can add information.
No-show
Confirm safety first, record the outcome, offer a clear reschedule path, and avoid repeated automated pressure.
After completion
Care instructions, warranty or service documentation, review request, maintenance timing, and an easy way to ask for help.
