FSM software manages everything after that: scheduling the crew, dispatching the job, tracking materials and labor cost, and generating the invoice. Some tools do both reasonably well. What does field service management software actually do?
FSM software picks up after the sale is made. Its core objects are the job and the schedule, not the lead. It handles assigning a crew to a job on a specific day, giving that crew the address, scope, and any job notes, tracking materials and labor cost against the job budget, and generating an invoice once the work is done. Many FSM platforms also handle route optimization, technician time tracking, and integration with accounting software for the invoicing step.

When is a documented handoff between two systems the better call?
Once a business has multiple crews, multiple service lines, or a sales cycle that involves several touches and a real proposal, the case for two specialized systems gets stronger. A dedicated CRM built for complex pipelines and a dedicated FSM platform built for multi-crew scheduling will each outperform a generalist tool doing both jobs at once.
The part that gets skipped is documenting the handoff itself. A handoff needs three things written down, not assumed: the exact trigger that moves a record from the CRM to the FSM system (usually 'estimate accepted' or 'deposit received'), which fields carry over automatically versus which ones a person has to re-enter, and who is responsible for checking that the handoff actually happened for every won deal, not just most of them. If you're planning to run a CRM and an FSM platform side by side, ask any vendor these questions before signing anything:
Which direction does data sync flow, one-way from CRM to FSM, or both ways?
Is the sync real-time, or does it run on a delay, and how long is that delay in practice?
What happens to a record if a required field is missing when it tries to sync, does it fail silently or generate an alert?
Can you see a log of every sync attempt, including failures, or only successful ones?
Does the integration require a native connector, or does it depend on a third-party automation tool that adds another point of failure?
Who on the vendor's side do you contact when a sync breaks, and what is their response time commitment?

If a lead record fails to pass from the CRM into the FSM system and nobody is alerted, the job simply never gets scheduled. Before adopting any integration, confirm there's a visible failure alert, not just a success confirmation, and assign a person to check it on a set schedule.

Work through these questions in order before choosing a combined tool or a two-system setup:
How many touches does a typical lead need before becoming a signed job? One or two favors a combined tool; several favors a dedicated CRM.
How many crews or trucks are you scheduling at once? One or two can often work inside a combined tool; more than that usually needs dedicated scheduling software.
Does your sales process involve a formal proposal or multiple decision-makers? If so, weight the CRM side more heavily.
Do you already have accounting software you need job costing and invoicing to sync with cleanly? Weight the FSM side more heavily.
