CRM and Lead Follow-Up for Independent Auto Shops

Built for independent repair, detail, tint, wrap, PPF, specialty service, and performance shops. Cross X Agency implements the workflow around the shop's own tools and does not sell CRM software.

    Scope at a glance

    • Quote forms with vehicle and service detail
    • Missed-call response for bay hours
    • Attribution from first contact to booked work

    What this solves

    Where the path breaks.

Three points along the customer journey where automotive teams tend to lose the next step.

The phone rings while the bay is busy

Techs and advisors are on a vehicle, not at a desk. Without a defined response, a missed call becomes a call to the next shop on the list.

Quote requests arrive without enough detail

A message that says how much for a wrap cannot be quoted. Missing year, make, model, service, and timeline turns one inquiry into three rounds of messages.

Nobody knows which source filled the bay

Calls, DMs, forms, and walk-ins do not land in one place, so the shop cannot say which channel produced the work it actually wants more of.

    In scope

    What is in scope.

    Capture and qualification

    • Quote form fields for year, make, model, service, and timeline
    • Photo upload on the quote form where the service benefits from it
    • Required phone field on any quote form in scope
    • Missed-call response configured around bay hours
    • Internal alerts scoped to the advisor who actually replies

    Follow-up and measurement

    • Quote follow-up steps with a clear human handoff and stop rules
    • Appointment or deposit connection where the shop's tools support it
    • Service and appointment reminders on an agreed cadence
    • Review requests after completed work
    • Reactivation of past customers only where consent records permit
    • Attribution reporting from source through to booked work

It can complement shop management software

Where a shop already runs estimating, ticketing, parts, or scheduling in shop management software, this build does not replace it by default. The CRM layer sits in front of it and owns the pre-sale conversation: capture, qualification, quote follow-up, and attribution. Once the job is booked, the work moves into the system the shop already uses. Direct integration is scoped only where the shop's platform supports it, and where it does not, a documented handoff is defined so nothing is lost between the two.

    • Current tools reviewed before any recommendation is made
    • Pre-sale conversation and shop operations kept in clear lanes
    • Handoff documented whether or not an integration exists

    Automation stops where judgment starts

Pricing a wrap, a PPF package, a tint job, or a diagnostic is a conversation, not a template. Sequences are scoped to acknowledge the request, gather the missing vehicle detail, and put a real person into the thread quickly. Every sequence has stop rules so a customer who replies, books, or asks to stop is removed from automated messaging.

    • Acknowledge quickly, then hand to a named advisor
    • Stop rules on reply, booking, and opt-out
    • Message tone written with the shop, not generic templates
    Real implementations

    Automotive work already installed.

Named with permission. Service categories only, with no results, close rate, or lead volume claims attached.

    How it connects

One service, connected to the next step.

CRM does its job when it hands the visitor, inquiry, or asset to a defined next step. The rest of the customer journey is planned alongside it.

See how the full system connects
    • Client ownership

Approved accounts, source assets, access, and final deliverables stay with the client.

    • Defined handoff

Owners, approvals, and next actions for each lead, asset, or update are agreed during scope.

    • Measurement

What is tracked, where it lives, and how it is reviewed is defined before launch.
